The Calendar

You can open the Entourage calendar either by clicking the Calendar view button in the upper left of the Entourage main window, choosing View → Go To → Calendar, or pressing ⌘-3. No matter how you open it, your calendar shows up with all scheduled events listed on the appropriate days at the appropriate times (see Figure 11-1). In fact, it can display anything from a single day to six weeks on a single screen.

If you have the folder list showing (Calendar → Show Folder List) you get a second miniature overview calendar in the lower-left corner. (Click the tiny arrow button in the lower-left corner if you don’t see this mini-calendar. Drag the divider bar above the overview calendar to adjust the number of months it shows.)

Holidays and other special days (which you have to import from a separate file; see the box on ) appear in the large detail calendar. At the top of the window, Entourage has a calendar-specific toolbar for changing the view, opening your To Do list, categorizing appointments, and so on.

Working with Views

Entourage has three kinds of views: a month view, which looks like every wall calendar you’ve ever seen (see Figure 11-1), a column view, which displays up to seven days’ worth of events as vertical time lines, and a list view, which displays only your scheduled events or appointments (see Figure 11-2).

Displaying days, weeks, and months

To control what the main calendar window shows, use the following buttons on the Entourage toolbar or commands on the Calendar menu:

  • Day shows the appointments for a single day in the main calendar area, broken down by time slot.

  • Work Week depicts columns, representing the workdays of the current week according to your settings in the Entourage preferences—five days per week for most people, two or seven for others.

    Tip

    If you enjoy an eccentric work schedule, you can redefine which days constitute your work “week” by choosing Entourage → Preferences → General Preferences → Calendar, and changing the days-of-the-week checkboxes. When you choose “Work Week” using the toolbar or the Calendar menu, Entourage happily displays columns for only Tuesday, Thursday, and Friday (or whichever days you work).

  • Week fills the main display area with seven columns, reflecting the current week (Sunday through Saturday).

  • Month shows the current month in its entirety.

  • List, unlike the other views, doesn’t offer a vertical grid of time slots. Instead, it creates a list of the events that you were looking at in the view you just switched from. For example, if you were perusing Day view, then List view shows that same day’s events—in List format. These are the events scheduled for the current day (or days), as shown at top in Figure 11-2. Unlike the other views, List view isn’t available via the toolbar unless you add that button yourself (see Figure 20-3 on To design a new toolbar from scratch), but you can choose it from the Calendar menu or by Control-clicking (or right-clicking) anywhere in the detail calendar area and choosing List from the resulting shortcut menu.

  • View Date lets you choose a specific date to examine. The chosen date is displayed onscreen in Day view, and highlighted in Work Week, Week, or Month view.

You can also determine which days appear in the detail calendar by selecting them in the mini calendar at the lower left of the Entourage main window. For example, to make the calendar show nothing but an important three-day stretch, simply drag the cursor across those three calendar squares in the mini calendar at lower left (Figure 11-3). You can even drag across up to six weeks to maximize the number of days you can see in month view and get the big picture.

Tip

Entourage provides a quick way to access the current day’s date: Choose Calendar → “Go to Today”, or press ⌘-T. If you’re in Month, Week, or Work Week view, the command highlights today’s date.
