Hyperlinking to Websites or Other Documents

In your project file, you can insert a hyperlink to jump to a website or to a file on your computer or network. Inserting a hyperlink can be useful for including relevant reference material for tasks and resources in your project plan. It’s also useful for linking project-related documents, such as the scope document and bill of materials, to your project plan.

Note

Although this method refers to a hyperlink, the item you link to does not have to be a web page and does not have to be in HTML or XML format. It can be any document in any file format. You do need to have the application for that file on your computer, but it does need to be in a stable location.

Creating a Hyperlink

To create a hyperlink in your project, follow these steps:

  1. In Project 2010, display the view that contains the task, resource, or assignment to which you want to add a hyperlink.

  2. Right-click the task, resource, or assignment name to which you want to add the hyperlink, and then click Hyperlink from the drop-down menu that appears.

    The Insert Hyperlink dialog box appears.

    By default, the Hyperlink command is not available in the ribbon, although you can add it to a custom group or to the Quick Access Toolbar.

  3. In the Text To Display box, type a short description of the page you’re linking to.

  4. If you’re linking to a file, in the Look In list, browse to the file on your computer or network system. (See Figure 17-18.)

    If you’re linking to a website, enter the web address starting with http:// in the Address box.

    The path and name of the selected document appear in the Address box.

  5. Click OK.

    The path and name of the selected document appear in the Address box.

    Hyperlink indicator

    The Hyperlink indicator appears in the Indicators column of the current view. If you rest your mouse pointer over the Hyperlink indicator, the display text for the hyperlink appears.

Following a Hyperlink

To go to the document or website referenced by a hyperlink, click the Hyperlink indicator in the Indicators column. If the Indicators column is not shown, you can apply the Entry table to a task sheet or resource sheet as applicable.

You can also right-click the task, resource, or assignment, point to Hyperlink in the drop-down menu, and then click Open Hyperlink. The hyperlinked document or website appears in its own window.

If you want to view more details about your hyperlinks, or if you have several hyperlinks throughout your project, you might find it useful to apply the Hyperlink table to a sheet view. On the View tab, in the Data group, click Tables, and then click Hyperlink. To go to the file or website pointed to by the hyperlink, simply click the Hyperlink indicator.

To delete a hyperlink, right-click the task, resource, or assignment with which the hyperlink is associated, point to Hyperlink in the drop-down menu, and then click Clear Hyperlinks.
