APPENDIX B: SAMPLE PROCEDURE FOR INTERNAL AND EXTERNAL COMMUNICATION

Purpose

To define a process for internal and external communication on environmental aspects and the EMS of Eco-Friendly Inc (EFI).

Responsibilities

Manager <            > is responsible for internal EMS communication.

Manager <            > is responsible for external EMS communication.

Procedure

1. Manager <            > ensures that a two-way communication process relating to environmental issues is established between personnel at all levels in the organisation. This includes visitors and contractors working on site. These processes shall ensure that the following EMS-related facts, reports, instructions and awareness procedures (as applicable) are communicated to all personnel:

1.1. Environmental issues.

1.2. Significant environmental aspects.

1.3. Eco-friendly initiatives and environmental objectives.

1.4. Report environmental incidents by email.

1.5. Pollution prevention, waste management, recycling and reuse.

1.6. Emergency procedures.

1.7. Applicable operational controls, procedures and instructions.

1.8. EMS reports and results of EMS performance communicated to concerned managers and top management.

1.9. Applicable legal and other requirements are known to those responsible for measuring, monitoring or ensuring compliance.

2. There shall be at least two awareness sessions per year on each of the above topics, while the regulatory requirements and changes in procedures will be communicated immediately after receipt of a change.

3. Manager <            > ensures that a two-way communication process relating to external communication is established. The external communication process shall ensure receipt, response and recording of all communication relating to environmental issues. This may involve:

3.1. Communication with NGOs, environmental groups and communities;

3.2. Communication with government, regulatory and environmental protection agencies;

3.3. Communication relating to permits, licences and fines;

3.4. Communication with press and other media; and

3.5. Reporting of mandatory environmental data to environmental agencies and corporate bodies.

Records

Records that must be kept include records of receipts and responses to all external communications.
