Chapter . Work with Project Folders and Documents

When you create a project, the New Project Wizard creates two Project Watch Folders.

The Entourage Project Watch FolderThis Entourage folder stores email messages. Email that you copy or move into this folder (either manually or via a Mail Rule or the Mailing List Manager) is automatically associated with the project.

The Finder Project Watch FolderLocated by default in ~/Documents/Office Projects/, this folder contains files and aliases to files. Entourage constantly scans this folder and associates its contents with the project. When you ran the New Project Wizard, you may have given the folder a different name and you may have created an alias to it on your Desktop.

It’s important that you understand how the Finder Project Watch Folder works. When you associate a document with a project in Word, Excel, or PowerPoint using the Project Palette (see Use the Project Palette, ahead), an alias to the document is added to the Finder Project Watch Folder. The document itself is still saved wherever you choose, and it is not moved or copied to the Finder Project Watch Folder. If, on the other hand, you manually move a document into the Finder Project Watch Folder, it will be automatically associated with the project. Either approach is fine; the one you use depends on how you prefer to organize your project’s files.

You can also remove a document from a project. This breaks the association between the document and the Entourage project, but it does not delete the document.

Just as you can associate documents with a project, you can associate folders and their contents (including subfolders). The Overview tab of the project doesn’t show folders in its Recent Files section; you must turn to the Files tab to see the folder structure associated with the project.

Viewing Project Watch Folders

You can quickly open either of the Project Watch Folders with the Watch Folders buttons in the project’s Overview tab (see Figure 8).

In the project’s Overview tab, click the button on the left to open the Entourage Project Watch Folder, or click the button on the right to switch to the Finder and open the project’s Finder Project Watch Folder.

Adding Documents to the Project

You can add documents to a project in any of four ways:

  1. Drag a document or a folder from the Finder to the Files tab of the project.

  2. In the Files tab, click the Add button, navigate to the file you want to add, and click Open. You can add only files to the project using this method, not folders.

  3. In the Finder, drag a document or folder into the Finder Project Watch Folder.

  4. Use the Project Palette to add an open Word, Excel, or PowerPoint document to the project. See Use the Project Palette.

Removing Documents from the Project

To remove a document from a project, select it from the list in the Files tab, then click the Remove button at the bottom of the window. In order to remove a folder from a project, you must delete the folder (or the alias to the folder) from the Finder Project Watch Folder.
