Day 13 – facilitating the team effectiveness day

The following is a checklist of what you will need in order to facilitate the team effectiveness day and a guide to what order you should run the day.

Items you will need before beginning the meeting include:

  • Room setup
  • Flip chart / markers for facilitator and each table group
  • Masking tape to post charts
  • Post-it notes
  • Notepads
  • Pens/pencils
  • Fun gifts for participation, appropriate behavior, and so on

Now that you have all these in place, use the following steps to facilitate the flow of the day:

  1. Welcome/opening remarks.
  2. Delegate or find a volunteer to take notes, gather notes, and type up highlights of the day.
  3. Ask the team to complete confidential post-it notes on "How effective are we as a team?"
  4. Determine the average team effectiveness rating.
  5. Have a group discussion or presentation on "What factors contribute to that rating?"
  6. Recognize and applaud each presentation.
  7. Have a group discussion and/or presentation on "Areas for improvement." Recognize and applaud each presentation.
  8. Bracket the areas listed that are not under your control.
  9. Group, categorize, prioritize, and present the different areas.
  10. Recognize and applaud each presentation.
  11. Facilitate the group to summarize their presentations and findings collectively.
  12. Via a group discussion, rank the factors based on the biggest improvement or contributor to team effectiveness.
  13. Question the group to uncover attitude and the #1 factor (save this until last).
  14. Volunteer groups to brainstorm by discussion topics and present draft solutions.
  15. Recognize and applaud each presentation.
  16. Ask for volunteers to champion the project, finalize an implementation plan in terms of names, activities and dates, and circulate a draft within 24 hours.
  17. Discuss C.H.A.N.G.E.
  18. Discuss "Who has to change? What do we have to change?"
  19. Team attitude exercise, as described in the previous section, and brainstorm followed by presentations.
  20. Recognize and applaud each presentation.
  21. Discuss the following idea: "Imagine if we worked in an environment where these words were truly demonstrated on a daily basis, what would it be like?"
  22. Ask for a discussion on "What is stopping us from implementing it?"
  23. Gain commitment by asking for signatures.
  24. Summarize the day.
  25. Detail the next steps and set a date for the project champions to circulate draft implementation plans before the next meeting on day 18.
  26. Closing remarks.
  27. Have the participants complete an evaluation feedback form with a 0 to 10 rating and what went well /delta—what can we do better next time to get to a 10?

If you follow this checklist then you are maximizing your potential to have a successful team effectiveness day.
