The project managers need to be diligent in managing the permissions to the project sites. As a project team changes or as new members are added to the team, the project manager is responsible for updating the security on the project sites.

After a project is completed, the project manager is responsible for indicating that the item is archived in the projects list. Since the project manager is already using this list to provide regular updates to the project stakeholders, this should be an easy task to manage.

Over time, it is very likely that the template used as the starting point for all projects will need to be updated. The process for updating the template includes accessing the template site, incorporating the changes, and then saving the site as a template. If you use the same name for the template, you can save over the existing template. Any changes you make to the template will be applied to all new project sites.

The other item that needs to be monitored is the use of storage space for the Project Central solution. Since our solution was created with a quota, the site owner should be notified when the quota limit is being reached. Based on our design, we should not have issues with the quota, but this is an item you will want to pay careful attention to in your environment. It is best practice to keep your SharePoint content databases smaller than 100 GB. If you find that you are reaching that limit, you should take a look at the next section for some different ideas on how you can add structure to your solution.
