Assigning Accounts and Contacts to Other Users

In addition to sharing records with other users, you can change the ownership of a record. Most of the records in Microsoft Dynamics CRM (such as accounts, contacts, leads, cases, and opportunities) are "owned" by a user, and the record owner is a key component of the security model within the system. Microsoft Dynamics CRM allows you to change the record owner (or assign the record) by using multiple techniques in the user interface:

  1. Open the record and change the value in the Owner field.

  2. Open the record, click Actions in the toolbar, and then click Assign.

  3. In the grid toolbar, select one or more records, and then click Assign.

Regardless of the technique you use, you will follow the same steps to assign account, contact, and most other records in Microsoft Dynamics CRM.

Tip

Only users in Microsoft Dynamics CRM can own records; a team or group of users cannot own a record. However, you can assign some types of records, such as cases and activities, to a queue, which represents a group of users. See Chapter 13, for more information on using queues. You can usually find the name of the owner of a particular record on the Administration tab. You cannot change the owner of a record with the bulk edit tool.

In this exercise, you will change the ownership of a contact record by assigning it to a different user by using the second technique mentioned on the previous page.

Tip

USE the Ben Burton contact record you created earlier in this chapter.

BE SURE TO use the Internet Explorer Web browser to navigate to your Microsoft Dynamics CRM Web site, if necessary, before beginning this exercise.

  1. Open the Ben Burton contact record.

  2. In the toolbar, click Actions, and then click Assign.

    The Assign Account dialog box opens.

  3. Click Assign to another user.

  4. Select a different user by typing the user’s name directly in the box or by clicking the Look Up button.

  5. Click OK.

    The dialog box closes, and Microsoft Dynamics CRM updates the record owner to the value you selected.

Tip

Inactive users can own records, but you can assign records only to active users. If a user record is deactivated, records will remain assigned to the inactive user, but no other records can be assigned to the user as long as it is inactive in Microsoft Dynamics CRM.
