Anonymizing data

Many organizations, due to regulatory obligations, don't want report readers to be able to display actual users or display names when reviewing statistical data about an organization. This data can sometimes be classified as Personal Identifiable Information (PII), depending on your locality. Administrators can anonymize the report by using the following steps:

  1. Log in to the Microsoft 365 admin center (https://admin.microsoft.com).
  2. Expand Settings, and then select Services & add-ins.
  3. Select Reports:

  1. Move the slider for Display anonymous identifiers instead of user, group, or site names in all reports to On:

  1. Click on Save.

Anonymization will be enabled for Activity Reports. When you download any reports where a username or display name is typically shown, it will be replaced with a randomized character string.

Activity Reports are the easiest way to view a service's usage data across the organization as it is available automatically to all users with the appropriate roles. However, sometimes, organizations need to customize reports or even have a broader view of usage across the organization. For those use cases, Microsoft 365 Usage Analytics is the solution.
