Application Menu

Like Mac OS X programs everywhere, each Office program has a menu bearing its name, just to the right of the menu. It contains the Quit command, access to Preferences, and other commands that pertain to the program as a whole. It also has a few Finder commands, potentially saving you a trip to the desktop.

About [Program Name]

Opens a window displaying some legalese and, more importantly, the product ID for your copy of Office. A Microsoft representative may ask you for this number when you call a technical support phone number (which you can find by clicking the Support button).

The Reference Tools button doesn’t actually help with looking anything up; it just offers more legalese about any foreign language dictionaries you’ve installed.

Online Registration

In case you clicked Register Later when you first installed Office (see Appendix A), choose this command when you have the time to go through the registration process.

Application Menu Preferences

This command opens up the Preference window, which contains different panels for various types of settings (these are discussed throughout this book). Keyboard shortcut: ⌘-comma (,).

In Entourage, there are two main sections in the Preferences dialog box:

  • General Preferences. The General Preferences section is divided into 11 categories covering how Entourage works, particularly the Address Book (Chapter 11) and Calendar (Chapter 10).

  • Mail & News Preferences. The Mail & News Preferences section contains four categories covering how Entourage deals with mail and news messages (see Chapter 9).

Account Settings (Entourage only)

Opens the Tools → Accounts window, as discussed on Configuring Your Account Manually.

Work Offline (Entourage only)

Disconnects Entourage from the Internet or network, so that you can you write email messages, reply to news messages, or work with tasks, calendar items, or contacts without being interrupted by Entourage’s automatic mail-getting schedule (which would otherwise remind you every 10 minutes, “Mail could not be received at this time”). Great for use on planes and in waiting rooms.

Turn Off (or On) Office Reminders (Entourage only)

Tells the Office Reminders program (Office Reminders) to stop reminding you about events, tasks, and documents that you’ve set for follow-up; or if it’s already off, tells it you’d like to see your reminders.

Switch Identity (Entourage only)

Switches your Entourage identity, letting you (or another person using Office) use a different set of accounts (see Multiple Identities). Keyboard shortcut: Option-⌘-Q.

Services

This is a standard Mac OS X menu, listing useful inter-program commands that mostly do nothing in Office. (That’s because Services generally work only in Cocoa programs—programs that were written from scratch for Mac OS X rather than adapted from earlier software, as Office was.) Hide [Program Name]

Hides the current program’s windows from view without minimizing the program to the Dock. Keyboard shortcut: ⌘-H.

Hide Others

Hides the windows of all other windows, including Finder windows, leaving only windows from the frontmost Office program visible. Keyboard shortcut: Option-⌘-H.

Show All

Brings back all hidden windows of the program you’re using.

Quit [Program Name]

Quits the frontmost program, but before doing so, gives you a chance to save any changes you’ve made. Keyboard shortcut: ⌘-Q.
