Setting up a product in Microsoft CRM 2011

Microsoft CRM provides OOB product catalog functionality. We can use a product catalog to store the products or services used in an organization. A product can be a physical item or service. We can define the price list based on the product or its services. For setting up a product, we need to perform the following process:

  1. Set a unit group.
  2. Set a product.
  3. Set a price list.

Setting up a unit group

A unit group contains the basic unit in which the product will be available. For example, kilogram, liter, and hour are all measuring units. So before setting up the product, we need to set a base unit for the product. Perform the following steps to set a unit group and primary unit:

  1. Navigate to Configuration | Business | Product Catalog.

  2. Select Unit Groups.
  3. Select New from the Unit Groups ribbon toolbar.
  4. Enter the following information in the Create Unit Group dialog box:
    • Name: Service
    • Primary Unit: Hour
  5. Once the unit group is created, it will open Service Unit Group Record.
  6. Navigate to Units from the Common section.
  7. Click on the Add New Unit button from the List Unit Tools group.
  8. Enter the following information in the new Unit dialog box:
    • Name: Day
    • Quantity: 8
    • Base Unit: Hour

Once we have set up a basic unit group, let's set up our products. We are going to use the products to represent our room service category. We have the following room types:

  • Deluxe room
  • Deluxe, non-AC room
  • Semi-deluxe room
  • Four-bed family room
  • Economy room

Perform the following steps to set up a product:

  1. Navigate to Configuration | Business | Product Catalog.
  2. Select Product.
  3. Click on New in the Room Category tab to create a new product.
  4. Enter the following information:
    • ID: Dlx
    • Name: Deluxe Room
    • Subject: Default subject
    • Unit Group: Service
    • Default Unit: Day
    • Currency: US dollar
    • Product Type: Deluxe
    • Decimals Supported: 2
  5. Click on Save and Close.

Follow the preceding steps to set up the following products:

Once we have set up the product categories, we need to set up the price list for our product categories.

Setting up a price list

Price lists are a way to manage different pricing value for the same product. Once a price list is created, we can add multiple price list items using multiple products. Perform the following steps to create a price list in MS CRM 2011:

  1. Navigate to Configuration | Business | Price Lists.
  2. Select New from the Price List group in the ribbon toolbar.
  3. Enter Default in the Name field of the Price List form.
  4. Click on the Save button.
  5. Navigate to Price List Items under the Common left navigation section.
  6. Click on Add New Price List Item.
  7. Enter the following information in the Price List item form:
    • Price List: Default
    • Product: Deluxe
    • Unit: Day
    • Pricing Method: Currency amount
    • Amount: 300
    • Quantity Selling Option: No control
  8. Click on Save and Close.

We need to create price list items for all the room categories. Perform the following steps to set up the price list items:
