Printing contacts

Even though printing is frowned upon these days with people trying to be eco friendly, there are times when we need to print a particular contact or print labels, and so on. We can print our contacts as labels, print a contact entry to see all of the information about a contact or a group, or print the contact information as it appears in a view.

Printing contact entries as labels

We can print contacts as address or shipping labels in various sizes. Follow the steps given below:

  1. From within Contacts, select the one or more contacts.
  2. From the menu, click File | Print.
  3. Select a printer if one is not selected.
  4. Under Print Style specify the following:
    • Print Style: Address or shipping label style (each label style indicates how many labels print on a page).
    • Other Options: Depending on the address or label style we select, this field will give an option to select the size of the labels.

  5. Under What To Print, select Selected documents.
  6. Click the Documents Style tab.
  7. Under How to print each document, select Print multiple documents on each page.
  8. Under Format Each Document Using, select An alternate form, and then make the same selection we made for Print Style in step four.

    Note

    The label type indicates approximately how many labels we can expect to print on a continuous page, and the paper size shows the size of the labels.

  9. Click the Page Setup tab and specify any additional page formatting that is required such as orientation and page margins.
  10. Click the Documents Style tab to select how to print each document, label format, paper type.
  11. Click Preview to view our print setup selections.

    Note that this and the above two steps are optional.

  12. Click OK.

Printing a contact or group

We may be walking out the door and we need the details of the person we are about to visit! We can print an individual contact or group. Follow the steps given next:

  1. From Contacts, do one of the following:
    • Select one or more contacts.
    • Click Groups in the navigation pane and select one or more groups.
  2. Click File | Print.
  3. Select a printer if one is not selected.
  4. For Print Style, select from the list:
    • Default form: To print contacts with headers that identify information types, similar to the Contacts entry form.
    • Booklet: To print contacts in a listing, similar to an address book.
    • Business Card: To print each entry as if it were a business card.
    • Phone Directory: To print each entry in booklet format, but including phone numbers only.
  5. Under What to Print, select Selected documents (if it is not already selected).
  6. Click the Page Setup tab and specify additional page formatting if required.
  7. Click OK.

Printing the Contacts view

We can print our contacts as we see them within our contacts. This gives us a "list type" printout and can be handy if we need to give someone a printed list of our contacts. We can print from the My Contacts view or from the By Company view, or even By Categories.

Select the contacts we want to print and then File | Print. In the Print View dialog box under What to Print, select Selected View. Click the Preview button to preview what we are about to print and then click Done to close the preview. Click OK to complete the printing.

Tip

If we want to include our contact addresses, select My Contacts and show the view in the Business Card format.
