Chapter 7. Managing Contacts

Contacts are a vital part of any mail system. In our working and personal lives, we can connect with numerous people and collect important contact details. In Lotus Notes, contacts can be accessed from our Mail, Calendar, To Dos, and any other Notes applications that we use to look up names. We can also open contacts directly to view or add details. It is simple to add contacts and, in this chapter, we explore how to add and manage contacts and groups (mailing or distribution lists). The topics we will cover are:

  • Opening contacts
  • Touring contacts
  • Adding, editing, and synchronizing contacts
  • Importing and exporting contacts
  • Managing groups
  • Contact preferences
  • Allowing delegates to access our contacts
  • Printing contacts

Opening contacts

When we address a message to someone or invite someone to a meeting, we can select names from the Corporate Directory or from our Contacts. Contacts can be accessed from the Open list and, from within our Contacts, we can add new contacts and enter further details for current contacts. We can also create groups, also known as mailing or distribution lists. The following diagram shows the Open list; we need to click on Contacts to open.
