Taking Notes During a Slide Show

PowerPoint offers two different ways to take notes during a presentation. The first, and much simpler, way is by modifying the speaker notes for an individual slide. To do so, right-click the slide in question during a presentation and select Speaker Notes.

The second option, although more complex, lets you take full minutes as you make the presentation, assign follow-up tasks—and even link them all to your Outlook calendar should you so desire. It's an entire subsystem in PowerPoint called Meeting Minder. To take notes with Meeting Minder, follow these steps:

  1. Right-click the slide as you're making the presentation and select Meeting Minder.

  2. Jot down a record of points raised during the presentation on the freeform Meeting Minutes tab (see Figure 32.4).

  3. To assign specific follow-up items to a responsible individual and add a due date, click the Action Items tab (see Figure 32.5).

  4. To link an action item to your Outlook calendar, click the Schedule button on the Action Items tab. If Outlook is running on that machine, you can set up an appointment on the spot.

    PowerPoint gathers all Action Items as you type and automatically generates a slide that appears at the end of your presentation (see Figure 32.6).

PowerPoint saves your Meeting Minder data with the presentation itself. To view Meeting Minder entries in your presentation, open the presentation and choose Tools, Meeting Minder.

To convert Meeting Minder items into a formal document, click the Export button. This action sends the minutes and action items to Word, where you can use that program's complete set of formatting and editing tools.
