Converting and Importing Files Between Office Applications

For almost all Office users, the most common intra-Office data sharing involves retrieving contact names and addresses from Outlook to put in a Word letter. Unfortunately, both Word and Outlook conspire to make that common activity uncommonly difficult. This book contains a little-known method for simplifying the connection.

One way to share information among multiple Office applications is to open one application's file in another. You can:

  • Open an Excel workbook in Word— All the worksheets appear as Word tables, but charts do not appear; you must add those as objects.

  • Open a Word file in PowerPoint— PowerPoint attempts to construct a presentation based on the file structure.

Note

If you try to use an Office application to open an HTML file generated by any of the Office applications, the file opens—but Office reads the XML tag in the file and launches the originating application to load the file.


Numerous built-in methods are available for data sharing:

  • Access enables you to bring in an Excel worksheet as an Access table (choose File, Get External Data, Import).

  • Excel can import an Access table by using Microsoft Query or the Pivot Table Wizard (choose Data, Pivot Table Wizard, or Data, Import External Data, New Database Query).

  • Word exports to PowerPoint through File, Send To, Microsoft PowerPoint.

  • Word can use information stored in Outlook, Excel, or Access as the data source for a mail merge.
