Calendar Changes

Outlook 2007 sports a new look for its Calendar folder with additional color and visual elements. The Calendar also adds a Daily Task List pane at the bottom of the window. The Daily Task List shows the tasks that are due on the current date, such as tasks with that day’s due date or e-mail messages with a follow-up date of that day.

  1. Click the Calendar icon in the Navigation Pane to display the Calendar folder.

  2. Click a bolded date to view that date’s appointments.

  3. Click the Month tab to show the entire month.

    The appearance of the Week view is another change in the Calendar folder. No longer a two-column, day-planner view, the Week view is more like the Work Week view in previous versions.

  4. Click Medium to only show lines for appointments in the Calendar, rather than appointment subjects.

  5. Click the Day tab to view the day only.

  6. Click the Expand button to view the Daily Task List.

  7. Or, choose Daily Task List from the View menu, then choose Normal.

The Scheduling Assistant

The Scheduling Assistant, which is available with Exchange Server 2007 accounts, automatically reviews attendee schedules and proposes a time for a meeting. You can select a different time if needed.

  1. Click the Calendar icon in the Navigation Pane to display the Calendar folder.

  2. Click a date in the future.

  3. Click the arrow beside the New button and choose Meeting Request from the menu.

  4. Enter e-mail addresses in the To field, separated by semicolons

  5. Type text into the Subject field.

  6. Click Scheduling Assistant in the Show group of the ribbon’s Meeting tab.

  7. Outlook automatically selects a time for the meeting based on all participants’ schedules.

  8. View other suggested times and select an appropriate time.

  9. Click a time slot to choose that time for the meeting.

Using Calendar Overlays

In previous versions of Outlook, you could open another Calendar folder in a new window to view the appointments in that calendar. You can still do that in Outlook 2007, but you can also view two calendars side by side. Even better, Outlook 2007 lets you overlay calendars to see a combined view. For example, you can keep a personal calendar and a work calendar, and overlay them when you need to see a combined schedule.

  1. Click the Calendar icon in the Navigation Pane to display the Calendar folder.

  2. Click the Folder List button.

  3. Right-click Mailbox or Personal Folders and choose New Folder.

  4. Type a name for your new calendar in the Name field.

  5. Choose Calendar Items from the Folder Contains drop-down list.

  6. Click OK.

  7. Click the Calendar icon again.

  8. Click Personal Calendar to view the two calendars side by side.

  9. Click and add an appointment to the Personal Calendar by typing some text.

  10. Click and add an appointment to the primary Calendar by typing some text.

  11. Click the View in Overlay Mode button to view the calendars merged together.

  12. Click the View in Side-by-Side Mode button to switch back to side-by-side mode.

  13. Click the check box again to clear it and hide the Personal Calendar.
