Working with the Address Book

You can use the Outlook Address Book to search for and select names, e-mail addresses, and distribution lists. When you type a recipient name in the To field of the Message window, Outlook searches the Address Book for a match. The Address Book actually gives you access to potentially several address books, including information from the Contacts folder, Microsoft Exchange Server Global Address List (if you have an Exchange Server mailbox), and Internet directory services. Depending on the way you have Outlook set up, you may have information from only one of these sources, or you may have contact information from multiple types.

Open the Address Book

  1. In Outlook, choose Address Book from the Tools menu or click the Address Book button on the Standard toolbar.

  2. Click the selection arrow on the Address Book drop-down list.

  3. Click the address book from which you want to view addresses.

    Tip

    If your installation of Outlook is not set up for other address books, such as an Exchange Server Global Address List, the only address book you can select from the drop-down list is the Outlook Contacts folder. Note that the Outlook Address Book collects together all address books, but is not an address book itself.

Find a Name in the Address Book

  1. In the Address Book dialog box, click in the Search text box.

  2. Type the name of the contact you want to find.

  3. The first contact that matches is highlighted in the list of names.

    Assume you want to find a contact whose name is Dave. You are not sure if you listed him as "Dave" or "David" in your Contacts folder. To find him, in your Address Book choose Find from the Tools menu, type dav, and press Enter. Outlook displays all names containing "dav", such as "Dave", "Davey", "David", and so on.

    If you want to redisplay your entire address book after a search, select an address book from the Address Book drop-down list and click Name Only. Notice that Outlook now lists search results as a selection in case you want to return to your latest search results.

E-Mail a Name in the Address Book

  1. In the Address Book dialog box, click a contact to whom you want to send an e-mail message.

  2. Choose New Message from the File menu.

  3. Type a subject.

  4. Type your message text in the message body area.
