Sharing Notes

You can share notes with others in a handful of different ways, just as you can share other Outlook items. For example, you can e-mail a note to someone or print it to save a hard copy or send with a report. You can also use the Clipboard to copy notes to other Outlook items or other programs.

E-Mail a Note

  1. Open the Notes folder and select the note you want to send as e-mail.

  2. Choose Forward from the Actions menu to open a message window with the note attached to the message.

  3. Add some text, if desired.

  4. Click in the Subject field and modify the subject, if desired.

  5. Add a recipient for the message.

  6. Click Send to send the message.

You can print more than one note at a time. Select all the notes you want to print and choose Print from the File menu, just as you would for a single note. Select the Start Each Item On A New Page option if you want to print each note on a separate page.

Copy or Cut a Note

  1. Open the Notes folder and open the note you want to cut or copy.

  2. Highlight the text in the note.

  3. Press Ctrl+C to copy the text to the Clipboard.

  4. Open the program or Outlook item where you want to use the note text.

  5. Click Paste in the ribbon.

If you click a note icon and choose Copy from the Edit menu or press Ctrl+C, the note is placed on the Clipboard as an object, not as text.

    Tip

When you cut a note, Outlook removes all the text from the note, but doesn’t delete the blank note from the Notes folder. To delete the note, select it and click Delete.
