Although you probably do much of your work in Outlook, occasionally you might want to move data into Outlook from other programs or export data from Outlook to another program. Outlook makes it easy to import and export items. This section focuses on how to import and export items to and from PST files.
Choose Import And Export from the File menu to open the Import And Export Wizard.

Click Browse to locate the PST file from which you want to import.
Select an option to specify how you want duplicate items to be handled.
Specify options that define (filter) the data that Outlook will import.
Importing selected items from a PST file gives you an easy way to selectively copy Outlook items from one computer to another. Simply copy the PST file from the source computer to the destination computer, and then use the Import feature to import only those items you want on the other computer.
You can use the Filter dialog box to selectively import items. For example, perhaps you only want to import items that have the category Personal assigned to them. Or maybe you only want to import messages that came from specific senders. Whatever the case, the Filter dialog box lets you control which items are imported.

You don’t have to export to a new PST file. You can export items to an existing PST file. This gives you a handy means of selectively backing up or archiving specific items. For example, you might back up selected items from your Exchange Server mailbox to a PST file on your local computer for safekeeping.
Specify options that control (filter) the data that Outlook will import, such as in this example of items created last month.
Specify the path and name of the file to which you want to export, or click Browse to select a file.
