You should get in the habit of cleaning out unwanted e-mail messages, old contacts, and other items by deleting them or moving them to other folders. Outlook 2007 provides the Mailbox Cleanup tool to help you manage your mailbox. This tool lets you reduce the size of your mailbox to increase Outlook’s performance and to make managing mailbox items easier.
In the Mailbox Cleanup dialog box that appears, click View Mailbox Size to display the Folder Size dialog box.
Click Close to close the Folder Size dialog box and return to the Mailbox Cleanup dialog box.
Click AutoArchive to immediately begin archiving items based on the settings you have defined for AutoArchive. The Mailbox Cleanup dialog box will close automatically while your mail is archived.
Depending on the AutoArchive options set for a folder, messages older than a specific date may be removed from your current folders and placed in the Archive Folders. If you want to access a message that has been moved to these folders, open the folders from the Folder List pane and view the message in the main Outlook window.
You can use the two search options on the Mailbox Cleanup dialog box to search for messages that are older than a specified length of time or that are larger than a specified size. In the resulting search results window you can select items and delete them from your mailbox. To delete these items, first select them in the results pane, then right-click the items and choose Delete, or simply select the items and press the Del key on the keyboard.
