Setting Up E-Mail Reminders and Outlook Tasks

Through Project Web App, you have tools at your disposal for making your life a little easier. You can set up automated notifications so that you can receive e-mail messages reminding you about various aspects of your project and progress tracking. You can specify when you want to see reminders appear on your Project Web App Home page regarding your assignments and status reports. You can also integrate your project tasks into your Microsoft Outlook calendar.

Setting Your Alerts and Reminders

As a team member or team lead, you have the option to configure your own alerts and reminders. These configurations are beyond the page configurations set up by the project server administrator and the project manager.

To configure automated e-mail alerts and reminders to yourself, follow these steps:

  1. On the Quick Launch, under Settings, click Personal Settings.

  2. Click Manage My Alerts And Reminders.

  3. Review the options in the Tasks and Status Reports sections, and then select the check boxes and make further specifications for the events for which you want to be notified via e-mail (Task Alerts and Status Report Alerts) and see reminders on your Project Web App Home page (Task Reminders and Status Report Reminders).

    Clear the check boxes for events for which you do not want an e-mail notification or reminder on the Project Web App Home page.

    You can set up notification and reminder options for new or changed tasks, upcoming tasks, overdue tasks, and for status reports, as shown in Figure 25-17.

  4. In the Queue Job Failures section, specify whether you want an alert if a queue job fails.

    Whenever you save changes to your tasks or timesheet page, or submit changes to the project server, a queue job is started. Some queue jobs are carried out right away; others might take several minutes or longer, depending on the volume of activity of all Project Web App users.

  5. When you are finished, click Save.

    On the Manage My Alerts and Reminders page, you can set up e-mail alerts and Project Web App reminders for changed tasks, upcoming tasks, overdue tasks, and more.

Working with Project Tasks in Outlook

Project Server 2010 is integrated with Microsoft Exchange Server, which ensures that team members can view and update their project tasks directly in Outlook or Outlook Web App.

Project server tasks are displayed in Outlook 2007 or Outlook 2010 as tasks, and they are grouped by project name. Team members can receive notifications and update their server tasks directly in Outlook.

In Outlook 2010, you no longer need to install an Outlook add-in to see your tasks from Project Web App.
