Comparing Project Plans Side by Side

In previous versions of Microsoft Project, the Compare Projects feature was an add-in. Now the feature is built in to Project 2010, and it provides a comprehensive view that shows differences between two projects line by line. You might want to compare projects in the following situations:

  • You’ve sent a preliminary project plan for others to review, edit, and return to you. You can compare a reviewer’s edited version with your original version to see exactly where changes were made.

  • You’ve created a “what-if” version of your project plan, and now you want to compare the two versions to start implementing some of the changes.

  • You saved an earlier version for historical purposes, kind of like an extensive baseline. Now you want to compare versions to see the differences in the project plan from the original.

  • You have two versions of the project plan, and it’s not clear what the differences are between them, or which one contains the most current information. Comparing the two will make this evident.

To compare the contents of two project files, follow these steps:

  1. Open the two projects you want to compare; and be sure that one of the comparison projects is the active project.

  2. On the Project tab, in the Reports group, click Compare Projects.

    The Compare Project Versions dialog box appears, as shown in Figure 32-7.

    Specify the projects and fields you want to compare by using the Compare Project Versions dialog box.

  3. Click in the box labeled Compare The Current Project (projectname.mpp) To This Previous Version, and then click the name of the other project in the drop-down menu.

    If you didn’t open the comparison project, you can click Browse to find and select it.

  4. In the Task Table box, select the name of the table you want to use to compare task information.

  5. In the Resource Table box, select the name of the table you want to use to compare resource information.

  6. Click OK.

    Project 2010 creates the comparison report, which is a combination view, as shown in Figure 32-8. The upper pane shows information from both projects temporarily merged. A legend indicates the differences in the information. The divided lower pane shows the same table in the two projects.

The Task Comparison report shows first. To switch to view resources, click Compare Projects, View, Resource Comparison.

Specify the projects and fields you want to compare by using the Compare Project Versions dialog box.

Compare Projects

In either report, use the commands on the Compare Projects tab to filter data or to show or hide columns.

When you are finished reviewing the comparison report, click Compare Projects, Compare, Close Comparison. The combination view closes, but the Comparison Report remains open. You can save it as its own project file if you want.
