Using Calendar Views in Applications

Calendar views display documents in a calendar format with numerous display options, including the following:

  • One day

  • Two day

  • Work-Week

  • Week

  • Two-Week

  • Month

Web users cannot create new appointments or scroll through entries within a single day.


To create a calendar view, follow these steps:

In the Designer, open the database in which you want to create the view.

Click Views in the Design Pane to see a list of all the existing views in the database.

Choose Create, Design, View from the menu or click the New View button. This opens the Create View dialog box (think of this box as a wizard).

Enter a name for the view in the View Name field.

Choose the view type in the View Type field. Each option is summarized in Table 9.5.

SharedShared views can be used by any user with at least Reader access to the database, unless he or she is specifically excluded through a view access list.
Shared, contains documents not in any foldersOffers the same properties as a shared view, but lists only documents. Documents not in folders that are not also listed in a folder or folders.
Shared, contains deleted documentsOffers the same properties as a shared view, but lists only deleted documents. This setting should be used in conjunction with Allow Soft Deletions.
Shared, private on first useOffers the same properties as a shared view, but becomes private the first time a user opens it.
Shared, desktop privateOffers the same properties as a shared, private on first-use view, but on first use is stored in the user's Desktop.dsk file rather than in the database, which conserves space on the server. Private views are accessible to only those users who create them and, depending on that user's ability to create views, may be stored either in the database (if the user can create private views) or in the user's Desktop.dsk file.

In the Select a Location for the New View field, select the position in the view hierarchy in which you want the new view to appear. If you want the view to appear at the top level, don't select anything here. Otherwise, select the view under which you want the new view to appear.

Enter a view-selection formula. If you have copied the view's design from an existing view, the selection formula is copied as well and can be edited to meet your needs. If you started from scratch, you need to enter a selection formula here. You can use the Fields and Functions button and the Formula Window button to further aid your development of the selection formula.

Click OK to generate the new view.

Double-click the new view in the Views list to open it.

Choose Design, View Properties to open the View properties box. In the Info tab, set the Style field to Calendar.

In the Programmer's Pane, write a formula that will evaluate to a date and time value.

Double-click the first column in the view to open the Column properties box. The first column in a calendar view specifies the date and time for the calendar and should be hidden. Enable the Hide Column option on the seventh tab.

13.
On the Sorting tab (the second tab), enable the Sort Ascending option.

14.
Add other columns as necessary.

15.
Save the view.
