Set Section Access: Groups

Sections are a design element that can be used in forms to make them more user-friendly and to provide additional security. When used, sections create a collapsible and expandable area inside the form that can contain fields, text, layout regions, and embedded objects. Additionally, a section can be defined as an access-controlled section, which restricts the ability to edit fields within the section to named users.

Remember that the Edit Access list of a section merely refines the Database Access Control List—it does not override it. In short, a user must have Editor access or higher to edit a document.

To add an access-controlled section to a form, follow these steps:

1.
In the Designer client, open the database containing the form in which you want to add an access-controlled section.

2.
Open the form.

3.
Position the cursor to the location on the form where the section should appear.

4.
Choose Create, Section, Controlled Access.

5.
Click the Access Formula tab (the third tab) on the Form Section properties box.

6.
Select the type of edit access you want to create: Editable, Computed, Computed for Display, or Computed when Composed.

7.
Enter a list of usernames, groups, and/or roles that should have Edit access to the section; or enter a formula that evaluates to a list of usernames, groups, and/or roles that should have Edit access to the section.

8.
Save and test the form.
